The big day has finally arrived: it's time for our boat vacation! Bags are packed, groceries are bought, and friends and family are with us at the charter base. But before we set sail, there's one crucial step left: the check-in. This process is essential when renting a boat, and thank goodness for it. A thorough inspection of the boat's systems and equipment protects both our interests and those of the charter company, demonstrating their professionalism and reliability.
The importance of Check-In for a peaceful start
Everything handed over to us will undergo a detailed examination, ensuring we can sail smoothly and avoid unpleasant surprises during the check-out. Any damaged or non-functioning parts not reported at the start could cause practical problems while sailing and potentially financial issues at the end of the trip if we are held responsible for the damages. To avoid misunderstandings, it's crucial to meticulously inspect every part of the boat and its equipment, both inside and out, before departure.
Better alone than with too many companions
While the excitement of starting our vacation is overwhelming, it's wise to take the time needed to conduct these checks with a clear mind. To avoid the pressure from eager friends and family, it's best to attend the check-in alone or with only one friend if you're the one sailing the boat, or with the skipper if you've hired one. Though four eyes see better than two, too many people can create unnecessary tension and physical clutter, especially with bags lying around. This phase requires ample space and a clear view of all surfaces.
Invest time now to save it later
In agreement with the charter representative, we'll take all the time needed for the two phases of check-in: inside and outside the boat. This is an opportunity to familiarize ourselves with the boat, asking all necessary questions about the equipment and systems. Although it may seem tedious, this process saves time later by preventing calls to the agency mid-voyage for explanations on overlooked details. Pay attention to all electronic controls on the instrument panel, the functioning of seacocks, and the main operations in the cockpit. Don’t hesitate to ask detailed questions, take notes, or even photograph or video the explanations to remember their functions.
A checklist to tick off and keep
The list of onboard equipment and accessories is essential. The charter company representative will present a detailed checklist of the equipment, boat parts, and functionalities to be checked off. Remembering that this time is well-invested, we'll verify the position and condition of each listed item, from basic tools to the first aid kit, ticking them off once confirmed. This list, to be signed by both parties, will also be crucial at check-out to recheck that everything is in order and nothing is lost or damaged. If anything is unclear, don’t hesitate to point it out. The charter company may not have noticed a problem caused by previous renters, which needs fixing before departure.
Ask all questions without embarrassment
Essential questions include how to start and stop the engine, and where the seacocks are for opening the waste tanks. To avoid ruining the vacation (and paying for a clean-up), remember to open the tanks; otherwise, they could get clogged, resulting in a non-functional toilet. Ensure everything works perfectly: sails, engine, lights, and the tender's outboard motor. Better to ask questions now than be stuck on the phone mid-voyage or panicking over an easily solvable issue. Spend a few hours on repairs or replacements if needed.
A well-done check-out: ending the vacation with a smile
At the end of the vacation, on the morning of the last day or the evening before (with finalization the next morning if staying onboard), it's time for check-out. As important as check-in, this step verifies the condition of the equipment and tools. Everything inspected at the start will be rechecked. With the signed checklist in hand, we'll ensure the boat is returned in the same condition as received, barring normal wear and tear. This phase also requires time and attention to guarantee the full return of our deposit. Even with a skipper, we'll participate personally in the inspection, providing all necessary information and concluding with a smile and handshake after a wonderful experience aboard.
