Check-In and Check-Out for a stress-free boat vacation

The big day has finally arrived: we’re setting off on our boat holiday! Bags are packed, supplies are ready, and friends and family are gathered at the charter base. But before casting off, there’s one more crucial step: the check-in. When renting a boat, this step is unavoidable—and fortunately so. A thorough and meticulous inspection of the boat’s equipment and systems protects not only our interests but also those of the charter company, which can use this moment to demonstrate its professionalism and reliability.

The importance of check-in for a stress-free start

Everything delivered to us will undergo a detailed inspection, ensuring smooth sailing and avoiding unpleasant surprises at check-out. Any damaged or non-functional parts or equipment, if not reported at departure, could cause practical problems during the trip and financial disputes afterward if the damages are attributed to us. To avoid misunderstandings, it is essential to carefully inspect every part of the boat and its equipment, both inside and out, before departure.

Better alone than with too many companions

As tempting as it may be to jump into vacation mode, it’s wise to take the necessary time for these checks with a clear mind and calm demeanor. To make this process easier and avoid pressure from eager friends or family, it’s best to attend the check-in alone or with just one companion—whether you’re piloting the boat yourself or have hired a skipper. While four eyes see better than two, having too many people around can create tension and physical clutter, especially with luggage placed haphazardly. During this phase, having ample space and clear visibility is crucial.

Investing time now to save it later

Together with the charter representative, take all the time needed to complete the two phases of check-in: inspecting the boat’s interior and exterior. This is an opportunity to familiarize yourself with the vessel and ask any necessary questions about its equipment and systems. Although it may seem tedious, this process will save time later, avoiding calls to the agency during the trip to clarify functions or locations not learned beforehand. For instance, you’ll need to understand the electronics controls on the instrument panel, the functioning of the sea valves, and the main running rigging in the cockpit. Don’t hesitate to take notes, photos, or videos to remember how everything works.

A checklist to review and keep

A detailed checklist of onboard equipment and accessories is essential. The charter company’s representative will present this list, outlining the boat’s features and functionality. Remember that time spent in this phase is an investment, not a waste. Verify the position and condition of every item listed, from basic tools to the first aid kit, checking off each as you confirm its presence and state. This checklist, signed by both parties, is crucial during check-out to ensure all equipment is accounted for and undamaged. If something seems unclear or doesn’t make sense, don’t hesitate to point it out. The charter company, acting in good faith, may have overlooked a problem or damage caused by the previous renters that should be resolved before departure.

Ask all your questions without embarrassment

Don’t shy away from asking fundamental questions, even if they seem basic, such as how to start and stop the engine or where the sea valves for the black water tanks are located. To avoid ruining your vacation (and paying for a tank cleaning), make sure the tanks are open to prevent blockages that could render the toilet unusable. Generally, ensure that everything is in working order: the sails, the engine, the lights, and the tender’s outboard motor. For any doubts, it’s better to ask now than to panic mid-trip or risk ruining your vacation over an issue that could have been resolved before departure—potentially requiring a few extra hours for repairs or replacements.

A well-done check-out to end the vacation with a smile

At the end of the trip, either on the morning of the final day or the evening before (with closure the following morning if staying overnight), it will be time for the check-out. Just as important as the check-in, this step ensures the condition of the boat and its equipment. Everything inspected at the start will be rechecked during check-out. With the signed checklist in hand, verify that the boat is returned in the same condition it was delivered, accounting for normal wear and tear.

This phase requires the same time and attention as the start of the trip. While the initial risk was encountering issues during navigation, the current priority is to ensure that everything is in order and the security deposit paid at the time of rental can be fully refunded. Even if a skipper is involved, personally participate in the inspection, providing any necessary information. Conclude the experience with a smile and a handshake, marking the end of a wonderful time onboard.
